How much does event staff cost?
A plain breakdown of what event staffing actually costs in the U.K. — hourly rates by role, minimum bookings, and the extras that move a quote up or down.
The short answer
Most front-of-house event roles in the U.K. sit between £27 and £38 per hour, per person, depending on the level of responsibility. PRISM charges £27/hr for brand ambassadors, promotional staff, hosts and hostesses, hospitality staff and exhibition staff; £30/hr for team leaders; and £38/hr for event managers. Minimum booking is four hours.
That figure is all-in for the staffing element: sourcing, vetting, briefing, scheduling, on-the-day management and payroll. It is not a per-head finder's fee on top of a wage — the rate you are quoted is the rate you pay.
Rates by role
| Role | Hourly rate | Typical use |
|---|---|---|
| Brand ambassadors | £27/hr | Activations, roadshows, launches |
| Promotional staff | £27/hr | Street teams, retail, festivals |
| Hosts & hostesses | £27/hr | Registration, VIP, front of house |
| Hospitality staff | £27/hr | Corporate boxes, private events |
| Exhibition staff | £27/hr | Trade shows, stands, lead capture |
| Team leaders | £30/hr | On-site supervision of 4+ crew |
| Event managers | £38/hr | Full activation ownership, client-facing |
What moves the number
- ▸Shift length — a four-hour minimum applies, and short shifts cost more per useful hour once briefing and travel are counted.
- ▸Crew size — larger teams need a team leader, usually one per four to six staff.
- ▸Location — staff outside major cities may carry travel time; continental Europe carries per-diem and travel costs.
- ▸Skill requirements — languages, product knowledge, sales targets or licensed roles narrow the pool.
- ▸Lead time — a booking placed the week of the event limits who is still available.
- ▸Uniform and kit — brand-specific uniform is usually supplied by the client; anything sourced for you is passed through at cost.
How to build a realistic budget
Work backwards from the shift plan rather than the headcount. Take the number of staff, multiply by the on-site hours, add one hour per person for brief and set-up, and add a team leader for every four to six crew. That total, at the rates above, is your staffing line.
For a typical two-day trade show with four exhibition staff and one team leader, working nine hours a day, you are looking at roughly £2,500 to £2,700 in staffing before travel.

Common questions
Is there a minimum booking for event staff?
Yes — four hours per person. Anything shorter is quoted at the four-hour minimum.
Are event staff rates cheaper for multi-day bookings?
Multi-day and ongoing bookings are quoted individually. Continuity saves on re-briefing, and we pass that back on longer projects.
Do you charge extra for weekends or evenings?
Standard rates cover most weekend and evening work. Overnight shifts and bank holidays are quoted case by case.
What does the hourly rate include?
Sourcing, vetting, briefing, scheduling, on-the-day contact and payroll. Travel outside the booked city and any client-specific uniform are separate.
Need crew for a live brief?
Send the city, dates and roles — we come back the same day with availability and rates.
